What eBay tracks, and what it does not
eBay lets a seller set and adjust an available quantity per listing, and decrements it automatically as items sell. That covers the single-channel case well: list it, sell it, quantity goes down. What it does not do is treat that quantity as part of a shared stock pool across any other channel — a seller's own website, another marketplace, or in-person sales all need their own separate tracking, or a system that keeps them synchronized.
eBay also has no concept of what is behind a listing: raw materials, components, or work-in-process for anything made or assembled to order. A listing quantity of "12 available" says nothing about whether the seller actually has the materials on hand to fulfill all 12 if they all sell in the same day.
Where overselling actually happens
The most common failure mode for multi-channel sellers is straightforward: the same physical item is listed with independent quantities on eBay and at least one other channel, and a sale on one channel does not automatically reduce what shows as available on the other. A popular item selling briskly in two places at once can oversell within hours if nobody is manually reconciling the two listing quantities.
The fix is either disciplined manual reconciliation (workable at low volume, fragile at higher volume) or centralizing the actual stock count in one system that every channel's listing quantity gets set from, rather than letting each channel maintain its own independent number.
Tracking what is behind the listing
For sellers who make, assemble, or kit what they list, the listing quantity on eBay is really a promise about materials and components the platform cannot see. Tracking raw materials and component stock separately — and treating a listing's available quantity as constrained by what can actually be built, not just an arbitrary number typed into eBay — is what prevents accepting an order that cannot actually be fulfilled.
