We use the information we collect to:

• Monitor and analyze trends and usage
• Compute anonymized, aggregated inventory benchmarks (such as stock turnover across StockFlow warehouses) so you can compare your performance to similar businesses, without exposing any individual warehouse's data. You can opt out of contributing to these aggregates in Settings.
• Detect, investigate, and prevent fraudulent transactions
• Comply with legal obligations

3. Information Sharing and Disclosure

We do not sell, trade, or otherwise transfer your personal information to third parties without your consent, except in the following circumstances:

• With your explicit consent
• To comply with legal obligations or court orders
• To protect our rights, property, or safety
• With trusted service providers who assist in our operations (under strict confidentiality agreements)
• In connection with a business transfer or acquisition

8. Children's Privacy

Our services are not intended for children under 16 years of age. We do not knowingly collect personal information from children under 16.

8a. Data Retention

We retain your account information and inventory data for as long as your account is active or as needed to provide our services. If you close your account, we delete or anonymize personal data within 90 days, except where law requires longer retention (e.g., tax records, fraud prevention). You may request earlier deletion subject to legal obligations.

8a-1. Deleting Your Account

You can delete your StockFlow account and its data yourself, on the web or in the Android app: go to Settings → Profile → Delete account. If you can no longer sign in, email info@stockflowsystems.com from the address on your account and ask us to delete it. Your account, products, stock history and uploaded files are deleted; billing records we are legally required to keep are retained as described above.

8b. Your Inventory Data

Product names, SKUs, quantities, and supplier information you enter into StockFlow remain your property. We process this data solely to provide inventory management services. We do not sell, mine, or use your inventory data for advertising. You can export your full inventory at any time via CSV or API on paid plans.

8c. Subprocessors and Infrastructure

StockFlow uses trusted cloud infrastructure providers (including hosting in the EU where applicable) to store and process data. All subprocessors are bound by data processing agreements that meet GDPR requirements. We maintain a list of subprocessors available on request at info@stockflowsystems.com.

8d. Third-Party Integrations

You can connect StockFlow to accounting, e-commerce and point-of-sale software such as QuickBooks Online, Exact Online, Yuki, Octopus, Shopify, Square and Housecall Pro. A connection is only made when you authorize it, and it only accesses the data needed for the features you use:

• Accounting software (e.g. QuickBooks Online): we read your company name, home currency and chart of accounts so you can choose which accounts to use, and we write the journal entries for stock valuation that you push from StockFlow. We do not read your customers, invoices, bank data or other financial records.
• E-commerce and point-of-sale software: we read and update products, stock locations and stock quantities to keep them in sync with StockFlow.

Access tokens are stored encrypted and are only used by our servers to perform the actions you request. Data received from connected software is never sold, shared with third parties, or used for advertising. You can disconnect an integration at any time under Settings → Integrations; we then delete the stored tokens and, where the provider supports it (such as QuickBooks Online), revoke our access with the provider. You can also revoke access from within the connected software itself.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date.
