What free inventory tracking software actually needs to do
At its core, inventory tracking answers three questions on demand: how much of this do I have, where is it, and what changed since yesterday. A spreadsheet can technically answer all three, but only if someone updates it correctly every single time stock moves — which is exactly where manual tracking breaks down under real volume.
Software earns its place over a spreadsheet by making the update the easy part: scan a barcode on receiving, scan it again on a sale or pick, and the count updates itself. Plain inventory tracking follows a quantity per SKU — useful for most retail and stockroom scenarios. Two more specific needs sometimes get lumped into the same search: serial number tracking assigns a unique ID to every individual unit (needed for warranty claims, recalls, and equipment with per-unit history), and batch or lot tracking groups units made or received together (needed for food, cosmetics, and anything with an expiry date or a recall risk tied to a production run).
If your actual need is per-unit or per-batch traceability rather than a simple running count, a general tracking tool without that feature will feel incomplete even if the quantity numbers are accurate — check the dedicated serial number tracking or batch tracking pages if that is your case.
When a free plan is enough, and when it is not
A free plan is genuinely enough for a single location, a catalog in the hundreds to low thousands of items, and a small team that needs stock levels and movement history without per-unit traceability. It stops being enough once you need multiple warehouses with transfers between them, purchase orders tied to supplier lead times, or integrations into an accounting or ecommerce platform — at that point, check what the paid tier of the same tool adds before switching products entirely.
