What belongs on an HVAC supply list
An HVAC supply list covers everything a technician or installer consumes or carries to complete a job: parts that get installed into a system, materials used to connect or seal them, the tools that do the work, and the safety gear required to do it legally and safely. It is broader than a "parts list" because it includes consumables and tools that never get billed to the customer as a line item, but still need to be on hand.
Most HVAC businesses keep two versions of this list in practice: a warehouse stock list for bulk ordering and less common parts, and a leaner truck stock list for the items every technician needs on nearly every call. Both draw from the same master list below.
Refrigerant and mechanical components
These are the core parts that make a system run, and the ones most likely to need an exact model or size match, so they typically live in the warehouse with only the most common sizes carried on the truck.
- Refrigerant (by type, with recovery cylinders for used refrigerant)
- Compressors, condenser fan motors, and blower motors
- Capacitors (run and start, in common microfarad ratings)
- Contactors and relays (multiple voltage and amperage ratings)
- Evaporator coils, condenser coils, and heat exchangers
- Control boards, sensors, and safety switches
Electrical supplies and wiring
Electrical work comes up on nearly every install and most repairs, so these items belong on the truck, not just the warehouse shelf.
- Thermostat wire (18/5 and 18/8 gauge are the most common)
- High-voltage electrical whips for outdoor disconnects
- Wire nuts, spade connectors, and ring terminals
- Electrical tape and heat-shrink tubing
- Fuses in common amperages
- A basic assortment of thermostats (programmable and non-programmable)
Fittings, copper, and ductwork
Line set and duct repairs happen on short notice, and a missing fitting can stall a job as badly as a missing part, since most fittings cannot be improvised on site.
- Copper fittings: elbows, couplings, tees, and flare fittings
- Line set insulation and armaflex tubing
- Duct tape (foil-backed, not cloth) and mastic sealant
- Sheet metal screws and duct straps
- Flexible duct sections and register boots
- Condensate drain line, PVC fittings, and a condensate pump
Consumables and small parts
Consumables are cheap individually and easy to overlook, but a truck without them cannot finish even a simple job, which is why they deserve just as firm a par level as an expensive part.
- Air filters in the sizes your customer base actually uses
- Zip ties, cable clips, and pipe hangers
- Brazing rod, flux, and nitrogen for purging lines during brazing
- Refrigerant oil and leak-detection dye or solution
- Silicone sealant, foam sealant, and weatherproofing caulk
- Lubricant for motor bearings and fan shafts
Tools and testing equipment
Tools are replaced far less often than parts and consumables, but a technician without one on a call cannot work around it the way they sometimes can with a missing fitting, so these are tracked more like equipment than supplies: assigned to a person or truck, with a replacement plan if lost or broken.
- Digital multimeter and clamp meter
- Manifold gauge set and refrigerant scale
- Vacuum pump and micron gauge
- Refrigerant recovery machine
- Torch kit for brazing (with regulators and hoses)
- Tubing cutter, flaring tool, and swaging tool
- Combustion analyzer for gas furnace work
Safety gear and compliance items
Safety gear is non-negotiable on refrigerant and electrical work, and several items here are required by code or EPA regulation, not just good practice.
- Safety glasses and cut-resistant gloves
- Refrigerant handling gloves (for frostbite protection)
- Fire extinguisher rated for electrical and combustible materials
- Lockout-tagout kit for electrical disconnects
- Respirator or dust mask for attic and crawlspace work
- EPA 608 certification card and refrigerant handling log
Truck stock, warehouse stock, and par levels
A supply list only prevents shortages if each truck and the warehouse have their own par levels, the quantity of each item you want on hand before it triggers a restock. A truck stocked to par for capacitors, contactors, and common wire nuts rarely causes a callback; a warehouse stocked to par for compressors and coils by model number rarely stalls an install waiting on a supplier.
Treating each truck as its own inventory location, rather than one shared pool, is what makes shortages visible before a technician is standing at a job site without what they need. When a truck runs low on a tracked item, a transfer from the warehouse or another truck can happen before the next dispatch instead of after a wasted trip.
