What maintenance management software should cover
Machines, tools, and vehicles stay reliable when service is scheduled and documented rather than done "whenever there is time." Maintenance management software keeps a history per asset, sets the next service date, and warns before that date passes — the core of a lightweight CMMS (computerized maintenance management system), without the full complexity of an enterprise maintenance platform most small operations do not need.
The features that matter most
A small number of capabilities cover most of what a small or mid-sized operation actually needs: preventive schedules set per asset, alerts for upcoming and overdue service, scanning an asset tag from the floor to log a completed job, and enough context — warranty status, current book value — to make a repair-or-replace call without digging through separate records.

Not the same thing as MRO inventory
Maintenance management schedules and documents service performed on equipment. MRO (maintenance, repair, and operations) inventory manages the spare parts and consumables that service actually consumes. The two are complementary, not interchangeable — a maintenance log with no connection to spare-parts stock leaves you planning a repair without knowing whether the part it needs is actually on the shelf.
Example: the compressor that failed
A shop services its air compressor "whenever there is time" instead of on a fixed interval. Over a year passes without service, and it fails mid-production — the repair takes several days, during which the line sits idle.
A preventive schedule with a fixed recurrence, plus an alert a week ahead of the due date, would likely have prevented the failure entirely, or at minimum turned it into planned downtime instead of an emergency.
Rolling out preventive maintenance in stages
Switching an entire equipment fleet from reactive to preventive maintenance rarely works well done all at once. It works better to start with the assets whose failure would be most expensive — a core production machine, a vehicle with no backup — and set intervals there first.
After one or two maintenance cycles, the history shows whether the chosen intervals are realistic or need adjusting, before rolling the same approach out to the rest of the fleet.
