Inventory Management for Xero Users

Xero tracks simple quantity-on-hand for accounting, with no barcode scanning or multi-location stock. Add StockFlow as the operational layer for UK, AU, and NZ teams.

What Xero inventory covers, and what it does not

Xero's built-in inventory tracks quantity on hand and a rolling average cost per item, which is enough to keep cost of goods sold reasonably accurate on invoices. It is a widely used accounting platform across the UK, Australia, and New Zealand for exactly that reason.

What it does not do: barcode scanning, a receiving workflow against a purchase order, pick lists for fulfillment, transfers between multiple warehouses or vans, or batch and expiry tracking. Xero was built to keep books accurate, not to run a warehouse floor.

  • No barcode or mobile scanning workflow
  • No purchase-order receiving process, just a quantity field
  • No multi-location stock or inter-location transfers
  • No pick lists, kitting, or batch/expiry tracking

Xero for books, StockFlow for the warehouse

The common fix is not replacing Xero—it is adding an operational layer beside it. Keep invoicing, payroll, and the ledger in Xero. Run receiving, phone barcode scanning, cycle counts, and location-to-location transfers in StockFlow, which handles multi-location stock and warehouse workflows Xero was never designed for.

This is the same pattern that applies across accounting-first tools generally—see the broader accounting software with inventory guide for how it plays out beyond Xero specifically.

Connecting StockFlow and Xero today

There is no native OAuth sync between StockFlow and Xero yet. Export your item or inventory list from Xero as CSV, then import it into StockFlow, matching products by SKU. From there, run day-to-day scanning, counts, and transfers inside StockFlow.

At period close, export an inventory valuation report from StockFlow for your bookkeeper, or enter it as a manual journal adjustment in Xero, so the books reflect what is actually on the shelf rather than Xero's single running average.

  • Export the item/inventory list from Xero as CSV
  • Import into StockFlow, mapping SKU, quantity, and cost
  • Run barcode receiving, counts, and transfers in StockFlow
  • Export valuation from StockFlow at period close for Xero

Frequently asked questions

Does StockFlow sync natively with Xero?
Not yet. There is no native OAuth connector today. Bridge the two with CSV: import your Xero item list into StockFlow, then export inventory valuation back at period close. A native connector focused on period-end valuation push is on the roadmap.
Can I keep Xero and still get barcode inventory management?
Yes. Keep Xero as your accounting system of record and run barcode receiving, stock counts, and multi-location transfers in StockFlow. The two systems bridge via CSV export/import today.
Why does Xero inventory not support multiple warehouses?
Xero's inventory feature was built to keep a single quantity-on-hand figure accurate for invoicing and cost of goods sold, not to model separate warehouse locations, transfers, or pick lists—those are operational workflows outside its accounting scope.
Is StockFlow suitable for UK, Australian, or New Zealand businesses using Xero?
Yes. StockFlow is available worldwide and runs alongside Xero the same way it does with any accounting system: Xero stays the books, StockFlow handles barcode scanning, receiving, and multi-location stock control.
