What QuickBooks inventory does, and where it stops

QuickBooks Online's inventory feature (Plus and Advanced plans) tracks quantity on hand, reorder points as a single number, and average cost for each item, then posts cost of goods sold when you invoice. For a business that just needs stock levels to stay roughly accurate for accounting, that can be enough.

It runs out of road quickly once a team needs actual warehouse operations: there is no barcode scanning, no receiving workflow against a purchase order, no pick lists for order fulfillment, and no concept of multiple warehouse locations with transfers between them. Cycle counts mean manually editing quantities on hand, one item at a time.

The fix is not to replace QuickBooks—it is to stop asking it to do a warehouse's job. Keep invoicing, payroll, and the general ledger in QuickBooks. How to connect StockFlow and QuickBooks today

StockFlow does not have a native QuickBooks OAuth sync yet. The current bridge is CSV: export your Products and Services list (or the Item List, for QuickBooks Desktop) from QuickBooks, then import it into StockFlow to create matching products by SKU.

Run day-to-day receiving, scanning, counts, and transfers in StockFlow. At month-end or after a major stock count, export an inventory valuation report from StockFlow and hand it to your bookkeeper (or enter it as a journal adjustment) to keep QuickBooks' books aligned with what is actually on the shelf.

What is on the roadmap

A native QuickBooks connector is not live yet. When it ships, it is expected to focus on the same thing StockFlow's live accounting connectors (Octopus, Exact Online, Yuki) already do for their markets: pushing period-end stock valuation into the general ledger, not real-time two-way sync.
