What the QuickBooks Online connector does

QuickBooks Online is built to keep the books: invoicing, bills, payroll and the general ledger. StockFlow is built for the warehouse: phone barcode scanning, purchase-order receiving, stock counts, transfers between locations and low-stock alerts. The connector keeps those roles clear and closes the gap at month-end, which is where most teams lose time.

Instead of exporting a valuation report and typing the number into a manual journal, you pick a date in StockFlow, choose the valuation method your accountant uses, and push. StockFlow creates the journal entry in your QuickBooks company for you.

  • Secure sign-in with your Intuit account (OAuth 2.0). StockFlow never sees your QuickBooks password
  • Map one inventory asset account and one stock-variation or cost-of-goods-sold account from your chart of accounts
  • Push stock value at any date from Analytics → Stock Value at Date (Average, FIFO or LIFO)
  • Every push is logged in StockFlow with its amount, date and status

How to connect QuickBooks Online

Setup takes a few minutes and is done once per warehouse. You need a QuickBooks Online login with admin access to the company you want to connect.

  • Open Settings → Integrations in StockFlow and choose QuickBooks Online
  • Click Connect, sign in with Intuit and select your QuickBooks company
  • Pick the inventory asset account and the stock-variation (COGS) account, then save the mapping
  • Go to Analytics → Stock Value at Date, generate the report and choose Push to QuickBooks

What the journal entry looks like

Each push creates one balanced JournalEntry dated on the report date, with a reference such as "StockFlow stock value 2026-10-31 (FIFO)". When stock value went up since the previous push, the inventory account is debited and the variation account credited; when it went down, the signs flip.

The first push books the full stock value. Every later push books only the difference against the last successful push, so you can push monthly, quarterly or after a big stock count without double-counting. Pushing the same report twice is detected and skipped.

  • Debit inventory asset / credit stock variation when value rises
  • Credit inventory asset / debit stock variation when value falls
  • Unique journal number per push, so QuickBooks duplicate-number warnings do not block it

If QuickBooks already tracks inventory quantities

QuickBooks Online Plus and Advanced can track quantity on hand for inventory items and post their value to the built-in Inventory Asset account. If you keep doing that, do not map that same Inventory Asset account in StockFlow, or the value is counted twice.

Most teams that move warehouse work to StockFlow switch their QuickBooks items to non-inventory (or service) items and let StockFlow own quantities and valuation. Ask your accountant which setup fits your books before the first push.

If a push fails

A failed push is almost always one of three things. The QuickBooks session expired: Intuit requires a fresh sign-in when the connection has not been used for about 100 days, so reconnect under Settings → Integrations. A mapped account was deleted or made inactive in QuickBooks: pick another account and save the mapping again. Or the closing date in QuickBooks blocks entries on the report date: push with a later date or ask your accountant to adjust the closing date.

Failed pushes are logged with the error from QuickBooks, so you can see what went wrong without leaving StockFlow.

What the connector does not do (yet)

This first release posts valuation only. It does not create or update products, invoices, bills or quantities inside QuickBooks, and it does not read your QuickBooks sales. QuickBooks Desktop is not supported; the connector works with QuickBooks Online.

If you need item-level data in QuickBooks today, the CSV exports in StockFlow cover that until product sync ships.

Frequently asked questions

How does the StockFlow QuickBooks Online integration work?
StockFlow connects to QuickBooks Online through Intuit sign-in and posts period-end stock valuation as a journal entry into the inventory and stock-variation accounts you map.
Does StockFlow replace QuickBooks?
No. QuickBooks Online stays your accounting system for invoicing, bills, payroll and the ledger. StockFlow runs the warehouse and sends the stock value to QuickBooks.
Which QuickBooks plans work with the integration?
Any QuickBooks Online plan that supports journal entries, including Simple Start, Essentials, Plus and Advanced. QuickBooks Desktop is not supported.
Which StockFlow plan includes the QuickBooks integration?
The Professional plan ($19/month) or higher. Every new account starts with a 14-day Professional trial, so you can connect QuickBooks Online straight away.
What happens if I push the same period twice?
Nothing is booked twice. StockFlow books only the difference against the last successful push, and an identical push for the same date, amount and method is skipped.
Can I disconnect QuickBooks?
Yes. Disconnecting in Settings → Integrations revokes StockFlow's access at Intuit straight away. Journal entries that were already posted stay in QuickBooks.
