What the Octopus connector does

StockFlow is built for warehouse operations—scanning, receiving, multi-location stock, and period-end valuation. Octopus is Belgium’s cloud accounting platform used by thousands of accountancy firms. The StockFlow ↔ Octopus connector keeps those roles clear: ops in StockFlow, books in Octopus.

Version 1 focuses on the month-end job accountants care about most for stockbeheer: take stock value at a date and book the change into the right ledger accounts via a Divers journal.

How to connect

In StockFlow, open Settings → Integrations → Octopus and authorize with your Octopus login. Pick the dossier, load the chart of accounts, and save inventory and variation accounts (for example 3xxxx and 609xxx—confirm with your accountant).

Generate a Stock Value at Date report with your preferred method (Average, FIFO, or LIFO), then choose Push to Octopus. The first push books the full inventory value; later pushes book only the delta so you do not double-count.

  • Settings → Integrations → Octopus, then authorize with your Octopus login
  • Select the dossier and confirm the webservice module is enabled
  • Map inventory asset account, stock-variation account, and the Divers journal key
  • Run Stock Value at Date with your accountant-approved valuation method
  • Push: the first push books the full value, later pushes book only the delta

If a push fails or the numbers look wrong

A failed push is almost always one of three things: the dossier session expired (re-authorize under Settings → Integrations → Octopus), the mapped GL accounts were renumbered or deactivated in Octopus since the last push (re-map them and retry), or the valuation method changed mid-period without a corresponding correcting entry (re-run Stock Value at Date with the same method used for the prior push before comparing deltas).

If a booked amount does not match what you expected, check whether the push booked a delta against the last successful push rather than the full value—reviewing the Divers journal entry's reference note (which includes the source report date) usually resolves the confusion faster than re-pushing.

What is not in v1

Product master sync, sales invoices, and purchase bills are not part of this release—StockFlow pushes valuation only, it does not create or read products, invoices, or bills inside Octopus. Exact Online and Yuki valuation sync are also live today.

If your firm needs product-level sync (not just a period-end valuation number), the CSV export from StockFlow's Reporting tab covers that gap until native product sync ships—most accountants only need the valuation push for month-end close, so this has not been a blocker for early Octopus users.

Frequently asked questions

Does StockFlow replace Octopus?
No. Octopus remains your accounting dossier. StockFlow adds operational inventory and pushes period-end valuation into your mapped GL accounts.
Which Octopus journal is used?
Financial Divers bookings on the Divers journal you map (often D1). Debit inventory, credit stock variation when value rises; signs flip when value falls.
Do I need a Software House ID?
End users only need an Octopus login with the webservice module. StockFlow holds the Software House credentials server-side after registration with Octopus.
What happens if I push twice for the same period by mistake?
The second push books a delta of zero against the first, since both reports reflect the same stock value at the same date—no double-counting occurs as long as you generate the Stock Value at Date report fresh each time rather than reusing a cached export.
Can more than one person at the firm push valuations?
Yes. Any user with Octopus integration access in StockFlow and dossier permissions in Octopus can push. Because pushes are delta-based against the last successful push, coordinate timing with your bookkeeper so two people don't push overlapping periods on the same day.
