What custom fields are for

StockFlow tracks the fields most businesses need out of the box — SKU, quantity, cost, supplier, and so on. But every business has a few pieces of information that are specific to how they operate: a manufacturer part number, a hazardous-material handling note, a grant or funding source, a condition rating, a warranty end date. Custom fields let you add exactly those, without waiting for a built-in feature that fits your specific case.

A custom field is defined once (its name and type) and then shows up as an input on every product, so your team fills in a value per item rather than tracking that detail in a separate spreadsheet.

The five field types

Text fields cover free-form notes — a handling instruction, a part number, a location description. Number fields work for anything numeric that isn't already a built-in column, like a weight or a rating. Date fields are useful for things like a warranty end date or a manufacturer date. Yes/no (boolean) fields work well for simple flags — hazardous, fragile, requires inspection. Dropdown (select) fields constrain input to a fixed list of options you define, which keeps data consistent across a team instead of everyone typing their own variation of the same value.

How many custom fields you can define

The number of custom field definitions you can create depends on your plan: 1 field on the free Starter plan, 20 on Professional, 50 on Business, and 999 (effectively unlimited) on Enterprise. This is a cap on how many distinct field definitions exist for your account, not on how many products can use them — once a field is defined, every product in your catalog can have a value in it.

What types of custom fields does StockFlow support?
Five types: text, number, date, yes/no (boolean), and dropdown (select) with your own list of options. Choose the type based on what you need to enforce — a dropdown keeps entries consistent, a date field validates as a real date, and so on.
How many custom fields can I create?
It depends on your plan: 1 on the free Starter plan, 20 on Professional, 50 on Business, and 999 on Enterprise. This limits how many field definitions your account has, not how many products can use each one.
Can I make a custom field required?
Yes. Marking a field required means it must be filled in when a product is created, which is useful for information your team should never skip — like a hazardous-material handling note or a grant code.
Can I change or remove a custom field later?
Yes. You can reorder fields to change how they appear on the product form, and deactivate a field you no longer need. Deactivating keeps existing historical data rather than deleting it.
Are custom fields searchable or filterable?
Custom field values are stored per product and shown on the product record; StockFlow does not currently offer a dedicated report builder that filters or aggregates by custom field across your whole catalog. For example, a date custom field can be sorted manually in the product list, but there is no automated report generated from it today.
