What is in the template

This tracker lists your items with the inputs to a reorder decision: average daily usage, supplier lead time, safety stock, current on-hand quantity and quantity already on order. The reorder point and the status (order now or OK) sit on the same row.

Use the reorder point calculator to check a single item, and this template to keep the whole catalog in view. Include on-order quantity in the comparison, otherwise you will reorder items that are already on their way.

The sample rows are fictional and can be deleted. The file is plain comma-separated text, so it opens in Excel, Google Sheets and Numbers; add formulas for any calculated columns after you import it.

Columns explained

SKUItem code.
Product_NameName of the item.
SupplierWhere the item is reordered from.
Avg_Daily_UsageAverage units used or sold per day.
Lead_Time_DaysDays from placing an order to having stock ready.
Safety_StockBuffer quantity held for variation.
Reorder_PointAvg daily usage × lead time + safety stock.
On_HandQuantity currently in stock.
On_OrderQuantity ordered but not yet received.
Reorder_QtyStandard quantity to order.
StatusORDER_NOW when on hand plus on order is at or below the reorder point.

Where a spreadsheet template breaks down

The reorder point and status columns are typed values in the CSV. In a spreadsheet, replace them with formulas so they update when usage, lead time or stock change, otherwise the tracker is out of date as soon as a number moves.

It does not read your real stock or sales, so usage and on-hand figures must be updated by hand, and it cannot warn you: someone has to open it and look at the status column.

How do you calculate a reorder point?
Multiply average daily usage by lead time in days and add safety stock. When on-hand stock plus quantity on order falls to that level, place an order.
Why include on-order quantity?
Because stock already on its way will arrive before the next shortage. Comparing on hand alone triggers duplicate orders.
How often should I update the values?
Refresh usage and lead time at least every quarter, and more often for seasonal items or after a change of supplier.
