What's in the template
This stock count sheet template records, per SKU: the count date, location, system quantity, counted quantity, the resulting variance, who counted it, and whether a recount is needed.
Print it or hand a tablet to the counter, and fill in Counted_Quantity as items are physically verified. The Variance column is the counted quantity minus the system quantity — a negative number means fewer units on the shelf than the system expects.
Columns explained
| Count_Date | The date the physical count happened, not the date it's entered. |
| Location | Where the count took place — rack, shelf, or zone. |
| SKU | The item being counted. Must match the SKU used in your master inventory list. |
| Product_Name | Human-readable name, for the counter's reference. |
| System_Quantity | What your records say should be on the shelf, pulled before the count starts. |
| Counted_Quantity | What was physically counted. |
| Variance | Counted minus system. Zero is a clean count; anything else needs a look. |
| Counted_By | Who did the count, for accountability and follow-up questions. |
| Recount_Needed | Yes/No flag for anything with an unexplained variance. |
| Notes | Context for the variance — damaged stock, miscount, unlogged receipt, etc. |
Where a printed count sheet breaks down
A paper or spreadsheet count sheet works for a full annual count of a small catalog. It breaks down for cycle counting — counting a rotating subset of SKUs every week — because someone has to manually pull the System_Quantity for each SKU before every count, and manually re-enter variances back into the master list afterward.
That double-entry step is where counts drift out of date and where transcription errors creep in. Software that pulls the system quantity automatically and applies the adjustment on save removes both failure points, which matters more as count frequency goes up.
